In order to negotiate prices with Vilanova Park, we need to agree on an
initial group reservation. We will have some flexibility to recalculate
this afterwards but we need a number to start with.

In order to get this number we could add:

- Staff members: ¿10?
- Volunteers: ¿15?
- Sponsored participants & speakers: ¿25?

TOTAL: ¿50?  (I'd rather go safer and book reservation for 60, we can
always reorganize/drop)

This would give us an orientation of the amount of beds/bungalows we
would book as GUADEC committee. Having the Stuttgart numbers would be
good as a reference.

Then we would give 2 weeks to the participants from the moment we open
the online registration (Devin???) in order to book with us the GNOME
Village accommodation. They would get into our group reservation,
getting the lowest price. 2 weeks is possibly a feasible deadline for
the people that know for sure that will come to GUADEC, hardcore
contributors, advisory board companies and other GNOME stakeholders. 2
weeks and no more than that because Vilanova Park can't stop for much
time other group reservations being done by travel agencies.

At the end of these 2 weeks we finish the group reservation and people
looking for accommodation from trat point will need to deal themselves
with Vilanova Park. We will agree with Vilanova Park discounted prices
for GUADEC participants but we won't guarantee availability of bungalows.

What do you think? We need to agree on this procedure asap.
