Re: Location voting in progress: more information needed

Dear Akhil,

Thanks a lot for all this information just before the deadline :D This will definitely help us to better rate the Indian proposal.

Thank you.

Dear Indonesian and Indian team,

note: I'm writing an email which just represents my feelings and put the
comments in a mixed bag. They might not apply to both teams.

In order to be able to vote we would really need more information on:
- Venue: photos of accommodation rooms when included

Hello All,

We have a choice between service apartments or hotels. We have kept the
option open for both as of now. The hotels usually are a little less
expensive. Akhil came up with a few searches. But they can get us a
better deal once we have a larger group confirming their attendance.

Some service apartments

Some hotels

We prefer hotels. Service apartments are a little too comfortable and
many people might decide to WFSA (Work From Service Apartments) ;)

- Venue: hackfest site photos

Already attached some in the proposal.

- Venue: conference site photos covering conf rooms and free spaces
where we could have booth

I talked to another university this weekend, Dayananda Sagar College of
Engineering. They are really interested in hosting both the hackfest and
the conference. Sad I went on a weekend when they didn't open the
conference rooms.

But its a huge university with a lot of space to host booths and in a
very accessible location in Bangalore where many people can attend it. I
did a site visit, and it is one of the huge campuses I have ever seen.

The CS HOD has told me they are renovating their homepage and they have
captured photos of the class rooms and conference halls as part of that.
I'll send the photos over as soon as I get them.

- Ability to acquire sponsors: who have you met so far and what's your
feelings on raising 60K USD from local companies. be specific to which
companies you think will vouch for GNOME (and honest of course ;-) )

Honestly approached none yet. But we know the potential players who'll
want a booth setup and sponsor the hackfest and the conference. We can
approach them only when we have the right number and only when we know
it is definitely happening in this location.

The minimum money each company pays for a booth in Open Source
conferences (1-2 days) is Rs 20000 (approx 450 USD)

But even with many companies helping with the booths, and many with
sponsoring hackfest, 60K USD sounds a lot of money to find :) Let me get
back on this, but just wondering if we made 60K USD from any event in
GNOME till date.

- Infrastruture: I guess bandwidth/speed data for Internet is important,
availability of wifi, public transportation, distance from airport,
distance from and ease of access to 'downtown' matter too.

The universities have good wifi, and if people feel it is not good
enough, we can get private networks for the conference. It doesn't cost
much.

There are a lot of options for public transportation.

Distance from airport is a one time transportation, and it doesn't take
long either as we discussed on IRC the other day.

- Visa: I think someone needs to do some research. My impressions are
that both HK and Bali give visa on arrival to almost anybody (maybe not
Chinese?) and for India I am under the impression the process is rather
cumbersome (requiring to deposit some cash in a specific bank - at least
in China and even for foreigners). Can you elaborate on those issues,
confirm or correct my 'claims'?

I do not think getting VISA to India is too difficult either for other
nations. I read somewhere on Nat's blog he got a VISA to India in less
than 6 hours in a queue!!! But yeah that's Nat :D

Here are more details,

Let me know if I need to provide any other details. I'll send more
details as soon as I get hold of them. And thanks for the detailed
questions Frederic. It helps us make sure we do not miss anything.

In addition to the above information, i looked for airfare from GNOME
