Hi all, 

I suggest add below topic to the agenda: 

1. Book hotel in HK for speakers and staff 
GNOME.Asia and GUADEC always book hotel in advance for foreign speakers and staffs.  Some speaker will pay their own; some will be sponsored by GNOME, this is will be decided case by case. But book hotel in advance will get a good price. 

2. Travel reimbursement policy for GNOME.Asia 2012

Every year, GNOME.Asia will sponsor some speakers to attend the summit. They will go through the GNOME Foundation travel application process. https://live.gnome.org/Travel/

GNOME.Asia also has its own policy and it can be adjust every year. Hope we can announce our travel policy at the same time of announcing Call for Paper.  There are difference level of reimbursement, it can be discussed case by case; 
1. Sponsor hotel only 
2. Sponsor air flight 
3. Sponsor hotel + air flight 

It depend how much fund we called and the priority of the speakers . 

In the past year, I am doing the travel work related with GNOME.Asia, but I am not able to help on this since I am taking maternity leave during the Summit. I think Bharath Acharya will be a best person to deal with GNOME.Asia 2012 travel reimbursement work. 

Sorry I am not able to attend IRC meeting, but I will help in other ways.
