I think it would be very valuable to have some representative from
the release team at this launch event, if possible.  I think any
travel subsidy forms from anyone on the release team (and other
teams where it would be good to have representation) would be very
seriously considered.

The idea is to get all the work that needs to be done by each team
(release, doc, marketing) finalized before or during the release by
getting everybody in the same place, assuming there is a benefit of
doing so.

What do you think would be the concrete benefit? The benefit that you
want to create highly influences the actual date that fits best.

Whatever value could be had by getting people together in-person
probably requires some joint discussion, not just with the release
team but with other teams who are planning to attend.  It seems there
should be plenty of opportunities to engage in some collaborative and
fun work.  So we would appreciate any input.  If people from the
release team have any feedback that could influence when the dates
should be set, let us know.
