las-gnome Notes | LAS GNOME Meeting Friday at 16:00 UTC

Hi Everyone,

Here are our notes and action steps from today's meeting. We've decided to try to have weekly updates on concrete numbers for registered speakers and participants, as well as on the dollar amount raised. Here are this week's updates:

  • WEEKLY UPDATES
  • Speakers (Meg): 4 (not including headline speakers nor Asheesh)
  • Registered participants (Adelia): 5 (including 2 LAS GNOME committee members)
  • Sponsorship $ (Zana): $5K (no change)

And, here are our action steps:

  • ACTION STEPS
  • @Sri - send CodeThink an email about las.gnome
  • @Sri - send Sarah Sharp an email about speaking about social issues as a headline speaker.
  • @Sri - contact Patrick about running automated weekly reports about speakers and registered participants. Send the automatically generated email to the las-gnome gnome org mailing list or to info gnome org.
  • @Sri - ask Karen if donations at LAS GNOME qualify for tax deductible

  • @Sri
     - work with Patrick to sort out the money intake on the registration page:
  • - GNOME Foundation members and Open Suse do not have to pay
  • - Allow for donations and if you pay $100 then get a free conference shirt
  • - Speaker registration for free

  • @Nuritzi - update sponsorship levels
  • @Nuritzi - see if Meg can attend future meetings
  • @Nuritzi - as Meg if Asheesh would be a potential headline speaker

  • @Adelia - will transfer the sponsorship tracker into our collaborative doc and send to the las-gnome list

Meeting notes are below and also on the main initiative page: https://etherpad.gnome.org/p/westcoasthackfest2016

If you have any questions, let us know!

Best,
Nuritzi

Notes from July 15, 2016
Attendees: Adelia, Sri, Zana, Nuritzi

  • Update on Sponsorship: might get money from Yocto Project and AMD. Have asked Yahoo and Dell. Has contacted a lot of people through LinkedIn. Tried Amazon again.

  • Speakers:
  • - Find one more headline speaker, prefereable female: Sarah Sharp?
  • - There should be only 3 headline speakers.
  • - Meg is in charge of invited speakers.
  • - Need about 30 total talks to fill up 45 min time slots
  • - Speakers do not pay.

  • Volunteers:
  • - professional events coordinator. Knows how to negotiate with hotels and internet providers. All about user experience.
  • - just retired from Intel and has time to help
  • - Liv is available on a request basis
  • - graphics designer who wants to help
  • - someone interested in digital marketing

  • Conference Space:
  • Internet is really expensive. Sri is talking to a new internet provider to see if that would cost less. Stephouse is the internet provider that has done it at the Elliot Center before and it has worked well, it's just expensive. They want Sri to sign an NDA.

  • Questions:
  • - Where are we keeping these attempts? Spreadsheet?
  • - Updated packages and asks for smaller amounts.
  • - what is our current enrollment?
  • - number of speakers?

  • PREVIOUS NOTES
  •       @Nuritzi - propose 2 new sponsorhip levels: $1K and less.  -
  •        * Two levels, one $1k, and then one $500.00
  •           $1k - advertising, that you are a sponsor, and 10% discount on registration
  •           $500.00 -  smaller real estate - smaller logo?
  •            * action item: Follow up on how to implement discounts on registration system
  •     * Proposal from Zana - remove the coffee break option, and find a way to fund it using sponsorship money

  •     @Alexandre - find out from the Board if conferences are tax deductible
  •         * Not a donation, but a fee, the answer then is they are not tax deductible as it is not a contribution.  (we should encourage donations, as well as talk about GNOME in general)
  •         * we can use paypal to do that.  (don't need a receipt for donations under $250.00)
