Notes | GNOME #Engagement Meeting Friday, May 13th

Hi All, 

Sorry we've been falling behind on sending out notes from our meetings. FYI - you can always find them on our meeting's etherpad, if you're curious: https://etherpad.gnome.org/p/engagement-team-meetings

The highlights are that we talked more about outreach gear (stickers and t-shirts), and about the social media plan. We need to asses vendors for the gear and will formulate a plan that helps interested people apply for a budget for gear. We hope this will help people promote GNOME locally :) 

We also decided to start promoting Flatpak soon and will have a press item about it later this month when it is officially announced.

  • GNOME Merchandise visibility 
  • He is also working with some orgs to establish a contract and add them to that page. 
  • We don't need to make a push to find more, but if someone wants to be added to our page, they'll need to contact board gnome org to undergo contract negotiations. 
  • No new updates as of May 13th

  • Annual Report - Adelia

  • Update May 13
  • - Still outstanding are Financials and Letter from the President; Financials will be reviewed by Zana
  • - Photos that we have are mostly from GUADEC. Need to do more digging from individual blog posts for photos of hackfests and other events. Adelia has dug up a few and shared with Cassandra

  • - Jeff, Zana, and Adelia spoke last week; fleshed out design ideas to make report more visually appealing
  • Per KittyKat - You can add graphs to the financial section but should not replace text with graphs. She has the right to contral that section since she's treasurer. 
  • We need to make a preselection of the photos with what text. Then Jeff can sketch what the report can look like. 
  • Ozzie would like to help proofread the pages and get more familiar with the whole Annual Report process. 

  • Design: What kind of binding do we want? Landscape or Portrait? Stitching, ring, etc? Subtle stitching has a limitation that the pages have to be a multiple of 4. 
  • Decision: Print landscape, bind on short edge, use subtle binding. 

  • Printing: We should start mailing by end of June. Jeff will print in Canada. Zana has some greeting cards we might be able to use. Will print using standard US letter size. 


  • Action Items
  • - @Jeff to print the report and send from Canada. Consider having others help write handwritten notes >> definitely have others prepping contents or handwritten notes
  • @Adelia - to populate a list of individuals who donated and get a quote from them. (1  2 people)


  • Fundraising
  • Friends of GNOME Redesign - Allan & Zana 
  • - Patreon for Friends of GNOME? to bypass paypal; specify specific donations/donation levels. This is stagnant and pending on Steve's leadership. 
  • - Friends of GNOME wesbite project is still moving forward. 

  • Action Items:
  • - @Zana to poke @Andrea and figure out where to add that donor on the website

  • Outreach
  • We need to request a budget for GNOME engagement. 

  • Engagement Blog
  • - Might want to feature a community meetup (espcially when we have some slow months) 

  • Local events
  • - Bastian will be doing another talk about GNOME 
  • - Bastian and Alexandre are doing a video conference with a local group
  • - Bastian will take some photos and screenshots of the events (send to photosofgnome gmail com). Next one is on Wednesday of next week. 


  • Action Items:
  • - @Nuritzi to estimate budget for t-shirts for GNOME SF, ask marketing list for budget requests 
  • - @Allan to learn more about process for requesting marketing budget at next board meeting 
  • - @Nuritzi send a request to Andreas and/or Allan - who can help us make stickers 
  • -  Zana - will add Adelia to the community blog after Adelia becomes a member

  • - @Adelia - apply for GNOME membership!

  • Budget requests
  • To figure out process for members to request collaterals - KIV this is a larger discussion

  • Emily has it in Carrollton, OH
  • Banner (table cloth and maybe a standup banner), & SWAG is the MVP. 
  • Timeline to get banner by September in time for LAS GNOME

  • @Zana - ping Kat about a banner for the US "travel box" will ask about getting the file
  • @Sri - ping Emily and ask her if she can prepare the box for travel. Or else prepare it for someone to pick it up. 

  • Blank greeting cards
  • @Zana will send some to Nuritzi (send some to Jeff for the Annual Report)


  • Stickers & Outreach Gear
  •           Ideally we want local teams to be able to access GNOME merchandise
  • Would be good to have some approved vendors that they can use
  • Action: decide on process for ordering (what's needed in an application? invoice and reimburse?)
  • Action: evaluate the different sellers (how much per item, how much for postage to different continents?). Unixstickers, Zazzle, Freeware, and Hello Tux. 

  • - Positive reactions to conference, some potential sponsors
  • - GitHub likely to provide sponsorship money
  • - Linux Foundation would have funded if done early in fiscal planning year (Intel September, Linux October; asking in Fall would be best); will still take a look at it
  • - Sri is considering hiring someone to help with promoting (and would help to find sponsors )
  • PR Launch will happen on Wednesday, May 18th!

  • Action Items:
  • @Sri and Zana to ask Board for budget


  • Conferences


  • - Will be held in Gothenberg on May 26th; Coordinate for a speaker before April 12th

  • - Putting a talk on Builder and runtimes  (sri)
  • - Putting a talk on GNOME vs Groupon trademark battle (sri)

  • - New conference
  • - Too late to submit papers unfortunately

  • Action Items:
  • - Need to make a calendar with conferences with GNOME presence

  • Next GNOME Release: week of LAS GNOME, Wednesday, September 21st ? Need to confirm date



  • Social Media 

  • Board elections - coming next week. We should remind people to make sure their membership is current and get them excited about running. Andrea runs the membership team. Opens on May 6th.

  • Action item: 
  • - @Nuritzi will send out another framadate to help plan the May meeting. Should have the meeting the week of April 18th or 25th
  • - Blast Bastian's post on social media

  • - Happy Birthday GNOME (20th Birthday) - Sri
  • Sri would like to get some stories, pictures, a timeline, etc. Sketchbook or picture book to give to people. Ties into budget. Celebrate the community. 
  • Talk about this during Hackfest at GUADEC
  • Have Miguel speak at next year's GUADEC, tell him with enough time so he can plan travel
