Re: Interaction and feedback from students for GNOME.Asia 2011

Hi Lakhil and Bharath,

Please see my feedback below. The feedback is also valid for "conference bag' email sent by lakhil earlier.

Hi All,

I talked to a few students, set up the volunteer team, the
representatives to promote the event in other colleges etc.

Feedback
==========
+ 250 Rupees is ok for students, but they would like to know how it will
be used. Apart from attending the conference they want lunch, some
goodies, delegate kits etc, something to take back home.

+ Paying by credit card might be a problem for some of them. So the
suggestion, just keep a On Spot payment option, so students just
register, but make the payment on the spot. The volunteers are ok with
collecting the money and handing it to us.

+ Moving the registration deadline till March 29. Most of the
promotional event would be handled from today because they had exams and
couldn't focus a lot. My mistake too, for not getting the posters
printed a week before and took ill for a couple of days. But we should
be ok with extending to 29th March as deadline.

After discussion of the irc meeting, in order (1) to be fair to those paid registrants, (2) have 1 less barrier to get more participants (as we already have enough barriers e.g. cricket), and (3) if it is free, registrants won't expect or request too much from us as well ;-) it will be a lot easier for us as we only have 1 week left, so we decided to refund those paid registrants.  I.e. we will not charge any participant. On top of that, we will provide lunch coupons to the 1st 500 registered participants.

The reasons of giving the registration for free is that we have enough sponsors and supporters. Fred will put up the news on the website. And as planned, please arrange to advertise this good news to everybody in India esp Bangalore.

+ One more additional session of student training. Many students want to
be part of the trainings. I can't be there for another session because
of organizing activities and keeping everyone in sync. I have asked two
of my mentees who have worked with me for more than a year to take up
the second session. So if the other trainers are ok with another session
on Mar 31 (or Mar 30) that'd be great, and we can open up a second
session if the first one fills up soon (100 students)

Thanks for their feedback, but it's too late and so we don't have any time to plan for another day of training, let's just do as planned, i.e. only 1 day :-)

Same as the request from the college to add their venue name in the banner, we already put their logo as one of our sponsors and advertise their venue with picture in our website, please explain to them.

Volunteer requirements
======================
+ The volunteers would be traveling on their own vehicles, so they would
need some fuel costs, and lunch for 1 day of promotional activity to be
reimbursed. I think that's ok, because for students it is a good amount
of money for fuel.

No problem, as long as their claims is reasonable and have receipt as you said in the meeting today :-)
Also found a students who has access to the complete database of
students for all engineering colleges in Bangalore :) So we'll be
flooding some accounts ;) I just want to make sure everyone who wants to
be part of the event, is aware that there's an Asia level event for
GNOME happening in India for the first time.

Good news!  In this case, if it is free, hope this student can get us a few hundreds students to join the event, thanks!

Regards,
Bharath
