Marcel, please assume the people will contact You the most common way, 
that is.. E-mail, I guess.
If You fail to communicate via the Mail, You probably cannot do much in 
the role of coordinator. People get the picture of You being 
unresponsive. You cannot help this otherwise than being responsive thru 
E-mail.
