How about something like this:


Title and dates of the conference.
2.  The venue requirements (i.e. 2 LTs and 6 booths).
3.  The conference is not commercial and there is no fee being charged
(therefore Hackfest should not be included/mentioned as fee will be
charged).
4.  Staff and students from CityU will be invited to join the conference.

GNOME is planning to have its 5th Asian conference in Hong Kong.
The dates for the event have been fixed to June 9th - 15th, 2012.

We are grateful to you for confirming your interest in hosting the event at City University.

The GNOME Foundation is a non-profit organization aiming to further the development of the GNOME project.
We would like to inform you that GNOME.Asia Summit is a non-commercial event which we have been organizing each year since
its inception in 2008, with the aim of spreading information about GNOME and its underlying technologies to-
   - Students/Developers who will be the potential "makers" of it
   - IT Business Owners who will base their products on open source technologies thereby benefiting themselves as well as the community.
   - Users of the GNOME desktop who will benefit from the free and virus-free GNU/Linux + Desktop alternative to expensive Operating 
     Systems/Antiviruses and be potential testers for the project development

We want you to rest assured that no fee in any form will be charged from the hosting institute either for the summit or the hackfest.
We are organizing them purely for creating interest about GNOME in hearts and minds of our future decision-makers. We want as many
students and developers to join the conference as possible and the event will be open for the students of City University.

My department agreed to sponsor the venue. Please send me a formal
letter (soft copy will do) signed by representative of the organizing
committee to the Department of Computer Science, City University of
Hong Kong stating :
