I think I would start out with the call. Something like "We are
soliciting proposals for hosting GNOME.Asia 2009."

And maybe at the end say "If you have any questions about the process
or ideas you'd like to discuss before submitting a proposal, you can
reach us at asia-summit-list gnome org "
