Hi Emily,

The current status are we have three mail lists:
1. asia-summit gnome org
This is the first mail list for organizor in the 2008, now it became a junk email list. I always want to close this mail list to reduce the junk mails.
Sure! +1 to remove this list that I never heard of... :)

2. asia-summit-list gnome org
This is for our core members and organizors.
We keep this asia-summit-list to invite local teams every year to join this mailing list for discussion.

3. asia-summit-participants-list gnome org
All the participants in GNOME.Asia from 2008. (We didn't add them in this list in 2009 and 2010)
Since we are targeting a bigger goal which is to encourage GNOME participation even between summits, we've been discussing to create (rename) a new group called gnome-asia gnome org, like this the mailing list is not limited to summit participants.

We can consider to close  asia-summit-participants-list gnome org and ask the existing participants to subscribe to gnome.asia mailing list if they want.

Besides, COSCUP should share with us their survey results soon and we may get some contacts from some participants that are interested to join the list, we can definitely invite them to subscribe later, I will follow up on this.

We can keep the 2 and 3, close 1.
can we keep 2 (asia-summit-list) , close 1 (asia-summit) and rename 3 (asia-summit-participants-list) to gnome.asia?

Do we need to apply for a new mail list: asia-summit-comittee gnome org ?

yes, we want to make a new mailing list : asia-summit-committee

So like this we will have:
1) "asia-summit-list" or we can call it asia-summit-local to communicate to the local teams of the summit every year

2) "gnome-asia" for both summit participants / speakers and non-participants who are interested to join gnome-asia for discussion / share experience / give or get supports of anything about GNOME in Asia

3) "asia-summit-committee for private discussion within the committee, it make sense to have one especially for joint event :)

During the irc meeting there were a couple of lines of discussion
regarding the existing mail lists. Right now we have a proposal to align
the asia summit mail lists as follows:

gnome-asia-committee:  This will be a closed list consisting of the
primary GNOME.Asia Committee. It will be used for strategic discussions
regarding the open action items for the members, and the guidance of
GNOME.Asia and the annual Summit.

gnome-asia-summit:  This will be a list that will be cleared annually
before planning of the following years GNOME.Asia Summit. It will be
utilized for the coordination of the Summit's local team, Summit
planning, and the primary communication point between the GNOME.Asia
Committee and the local team. Members will be added as they volunteer
for work on the Summit.

gnome-asia: This is an all purpose list that will be a focal point for
discussion of GNOME, GNOME technologies, Non-planning Summit discussion,
and communication in general about increasing the visibility and
penetration of GNOME into Asian regions.

I'd like to collect feedback about these ideas and invite everyone to
give alternative views or ideas for this proposal.

Please feel free to email me directly if you don't feel comfortable
answering in a more public forum.

Sincerely,

Will LaShell
